Supervises Substitute Information Assistants, Shelving Assistants and shelving functions at the library branch. Assists Circulation Supervisor or Branch Manager with hiring, training, responding to questions from staff and public, work direction, work assignments of daily schedules for Senior Information Assistants, Substitute Information Assistants and Shelving Assistants. Performs related circulation duties including (but not limited to) checkout and check-in functions, assisting in troubleshooting public computers and related equipment. Also provides direct customer service including receiving and recording fines and fees, issuing library cards, answering phone and greeting visitors, sorting and shelving returned and new library materials, preparing and discarding library materials for circulation, and performing related circulation duties, as assigned.

Minimum Qualifications
· High school diploma or equivalent (G.E.D.)
· Experience working with computers, mobile devices and new technologies
· Two years experience working with the public in a public library or similar setting
OR
· An equivalent combination of education and experience.

PREFERRED QUALIFICATIONS BEYOND MINIMUM REQUIRED:
· Two years supervisory experience or lead work experience in a Library.
·  Experience working with diverse populations and customers with limited English proficiency.
·  Bilingual skills.

Duties & Responsibilities

These examples do not include all possible tasks in this work and do not limit the assignment of related tasks in any position of this classification. Regular attendance according to the position’s management approved work schedule is required for all positions.

1. Manages shelving operations & substitute information assistant work schedules, and assists with branch operation and volunteers under the direction of the Circulation Supervisor and/or Branch Manager.
• Hires, coaches ,and trains new Substitute Information Assistants and Shelving Assistants under the direction of the Circulation Services Supervisor or branch manager
• Assists supervisor or manager in addressing problems and concerns of circulation and shelving staff with work schedules & assignments; provides feedback and observations on performance of Senior Information Assistants to the supervisor or manager
• Assists with training of circulation staff, responds to clerical/circulation questions from library staff
• Assists with work direction of circulation staff
• Coordinates and/or assists with branch volunteers
• Processes new employee paperwork for Shelving Assistants (I-9, W-4, MN State Deferred Plan, PERA, and conducts orientation)
• Evaluates and manages performance of Substitute Information Assistants and Shelving Assistants
• Verify and process employee time sheets, approve flex requests and expense reports

2. Performs excellent customer service functions to meet the needs of internal and external customers by possessing and demonstrating in-depth working knowledge of library system/catalog, Outlook, software applications, Internet, equipment and computers.
• Demonstrates knowledge of library automation system/ catalog by efficiently and effectively using the system
• Enters/edits information (patron and item records, selection lists, etc.) into Library automation system and /or appropriate software to ensure accurate and timely record keeping
• Direct and responds to internal or external customers/vendors in person, via telephone and through electronic communication in a professional manner
• Prioritize and organizes work to ensure smooth work flow and efficient shared operations
• Performs routine maintenance of equipment and reports needed repair
• Monitors supplies, forms and inventory: orders and distributes supplies
• Tracks statistics and reports to manager according to established timelines
• Uses computers effectively to perform basic document processing and to send and receive email
• Schedules meetings, appointments and use of conference rooms or classes
• Provides consistent quality customer service to all types of library customers
• Responds to and resolves issues raised by library patrons in a timely manner.

3. Processes and tracks library materials in a timely manner to ensure materials are available and in satisfactory condition for internal and external customers
• Performs timely and accurate check in and check out of materials according to circulation procedures
• Verifies receipt of new material (such as magazines, newspapers, books, etc.) according to department procedures
• Prepares materials accurately per department priority

4. Builds relationships and networks with internal and external resources to promote library mission
• Provides back-up to others in the work team and library system as requested
• Actively participates on internal and/or external committees, work groups and department meetings as designated or approved by Supervisor by attending meetings regularly, being prepared for meetings, providing input and reporting information to work group
• Participates in training related to work goals as approved by supervisor
• Supports library services to the public
• Contributes to developing, implementing and maintaining policies and procedures

5. Manages monetary transactions
• Handles monetary transactions (fines, fees, waivers, billing, daily bank deposits, etc.) according to department procedure
• Uses cash management to track accounting of weekly money.
• Work with and respond to questions from county and state auditor as needed
• Manage and work within budget

WORK ENVIRONMENT: Work is performed within a County library system. Operation of office equipment such as personal computers, telephone, adding machine, photocopier, scanner and fax machines. Occasional lifting requirement of up to 25 pounds, pulling and/or pushing book carts, exerting force up to 50 pounds. Frequent walking, standing, bending, twisting, stretching, crouching, reaching (forward and overhead) and grasping. Frequent wrist and finger manipulation due to high concentration of filing, compiling, calculating or computer work. The work is typically performed in an adequately lighted and climate controlled office. May require occasional travel.
