Library Acquisitions Associate – St. Olaf College

The St. Olaf College Libraries seeks a 12 month 30 hour/week Acquisitions Associate to begin approximately June 15th. This position manages the ordering, receiving, invoicing and processing of physical materials in support of St Olaf College Libraries and the Bridge Consortium and includes co-supervision of 12-15 student workers.

Position Summary:
To manage the ordering, receiving, invoicing and processing of physical materials in support of St Olaf College Libraries and the Bridge Consortium.

Position Description:

ESSENTIAL JOB FUNCTIONS:

Ordering/Purchasing – 30% of time
• Research and verify order request information using print and online resources.
• Place and verify orders with vendors.
• Create and update detailed order information in the library management system. Place holds where appropriate.
• Reconcile monthly credit card statement for orders placed.
• Respond to order inquiries from library staff and other appropriate individuals concerning orders placed by faculty and others.
• Resolve invoice, payment and delivery problems through communication with vendors, the College Business Office and others.
• Evaluate damaged, lost and missing materials to make decisions on replacement, repair or withdrawal from the collection.

Receiving, Invoicing, Processing – 30% of time
• Receive and process invoices for incoming physical library materials.
• Ensure that incoming materials are routed to their appropriate destinations.
• Complete physical processing of incoming library materials including standard and CoLibri covers, stamping, tattle tape, barcodes, etc…
• Assess and order appropriate supplies for the processing of books, DVD’s and other formats to prepare them for patron use.

Student Supervision – 30% of time
• Hire, train, organize, and supervise appropriate tasks for student workers in acquisitions, receiving, processing and other Acquisitions & Resource Management work.
• Organize and maintain student work schedule. Approve student time cards.
• Co-supervise all student workers for the Acquisitions and Resource Management department.

General Office Responsibilities –  ?10% of time
• Participate on Library and Bridge teams/working groups as assigned.
• Attend all relevant Library and Bridge meetings and functions scheduled during regular working hours.
• Work collaboratively and in tandem with peers at Carleton College to ensure that work is not duplicated and that costs are contained or reduced.
• Serve as a backup to other staff as needed and as requested by the supervisor.
• Perform other duties as requested by the library leadership.

Required Qualifications:

REQUIRED QUALIFICATIONS:

Education:  High school diploma

Experience:  1+ years experience receiving and paying invoices, dealing with vendors, and managing financial information in a complex accounting system; proficiency with MS Excel

PREFERRED QUALIFICATIONS:

Education:  Bachelor’s degree or Associate’s degree with 2 years’ experience

Experience:  Experience working in a library, academic setting or other highly relevant environment; experience using a library management system for acquisitions; experience supervising student workers or others
