Our current opening is at the Wescott Library and is a .50 FTE in the Acquisition and Cataloging department.

The Senior Library Information Assistant works under the supervision of the Acquisitions Supervisor or Collections Manager. Processes new materials. Performs quality checks of processed materials, vendor processing and electronic records. Places orders with vendors for new materials. Unpacks, receives and verifies invoices of new materials for accuracy and reports errors.

Minimum Qualifications
· High school diploma or G.E.D
AND
· Two years experience working with the public in an office or retail setting
AND
· PC knowledge

Preferred Qualifications
· Two years of Library experience
· Knowledge or proficiency (ability to read, write and/or speak) in a secondary language,

Duties & Responsibilities

Duties and responsibilities:
1. Verifies receipt of new material according to department procedures
• Determine accuracy of vendor processing
• Determine if items received were ordered
• Verify materials are in satisfactory condition
• Determine invoice accuracy and authorize for payment

2. Prepares materials per priority for the given type of material and security level
• Determine which process needs to be done to each item
• Choose and complete tasks based on established priority; modify as needed according to special circumstances
• Assess accuracy of data entered and vendor and/or staff processing
• Determine best method to package audiovisual and kit material
• Perform final quality checks

3. Sort and distribute new and existing materials according to department guidelines for delivery
• Sort according to established procedures
• Identify item to place and/or process request
• Monitor and adhere to publication release dates

4. Enter and edit information (acquisition records, item records, etc.) into library automation system and/or appropriate software to ensure accurate and timely record keeping
• Determine if information is already in database
• Verify accuracy of data, follow up on discrepancies

5. Use vendor sources (OCLC, Brodart, etc.) to obtain and update data for purchasing or cataloging purposes
• Determine if new title information is the correct one to download and/or order

6. Provide office support for materials selection and cataloging in accordance with established deadlines
• Track statistics and report to supervisor according to established timelines
• Monitors supplies, forms, inventory and orders and distributes supplies

7. Provide back-up and assistance to others in the work team; writes instructions and manuals for job tasks as requested or as needed
• Assess when back-up help is needed and notify supervisor
• Determine how to train on specific functions and follow-up
• Notifies Acquisitions Supervisor or Collections Manager of work progress
• Brainstorm and or consult

Knowledge, Skills & Abilities and Work Environment
· Knowledge of library acquisitions and cataloging software
· Knowledge of Outlook, Word, Evanced, and other software used in Library
· Knowledge of Library policies, procedures and programs
· Knowledge of English grammar, punctuation and pronunciation
· Knowledge of organization of collections – alphabetical and Dewey Decimal
· Knowledge of basic math
· Ability to operate personal computers and other office equipment
· Ability to alphabetize and file
· Ability and skills to perform detailed work within established time guidelines
· Ability to communicate clearly and effectively with the public in assisting them with their needs
· Ability to work effectively with the public, co-workers and all others
· Ability to handle heavy book carts and boxes
· Willingness to maintain flexibility in schedule and assignments

WORK ENVIRONMENT: Work is performed within a County office building. Operation of office equipment such as personal computers, telephone, adding machine, photocopier and fax machines. Lifting requirement of up to 30 pounds on an occasional basis, pulling and/or pushing book carts, exerting force up to 50 pounds. Frequent wrist and finger manipulation due to high concentration of filing, compiling, calculating unpacking, processing, or computer work.
