REQUIRED QUALIFICATIONS:
Five years relevant library experience. College education can be substituted for experience on a year for year basis up to three years.
Demonstrated success working effectively both independently and within teams.
Good interpersonal skills, including outstanding oral and written communication skills.
Candidate should possess a strong commitment to providing excellent customer service.
Administrative and office skills to include extensive knowledge with integrated automated library systems, database management and spreadsheet software, (Google Suite, Excel, WorldShare) .

PREFERRED QUALIFICATIONS:
Supervisory experience (supervising student employees and or employees).
Training experience (training student employees and or employees).

About the Job

PRIMARY FUNCTION:
The responsibilities of this position are part of the Resource Sharing Unit. The duties include overseeing the verification of Minitex requests.

JOB DUTIES/RESPONSIBILITIES

1. Coordinates the Processing of Minitex Requests in the OCLC Bibliographic Verification Area (65%)
● Serves as the functional expert for the verification of Minitex requests using WorldCat Discovery primarily and other resources and verification tools.
● Prioritize time sensitive tasks in a high pace environment and work productively in a team setting.
● Responsible in training both full time and student staff in the OCLC verification to ensure requests are verified accurately.
● Monitor staff work and provide continuous training to ensure proper procedures are followed.
● Customize and adapt training style to individual staff and follow up and feedback.
● Provide up to date information when changes are made to current processes.
● Maintain written documentation when changes occur.
● Work within Mira, Resource Sharing internal requests database to ensure requests are process in a timely manner.
● Closer monitor the OCLC verification loan and copy, review, the 100 year review and referral queues to ensure requests are moving along. Make adjustments to staffing as needed.
● Train full time staff on the next logical step when ready on OCLC referral processing.
● Analyze daily requests traffic pattern to ensure the number of staff: full time and student staff are sufficient to meet the needs of completing requests in a timely manner.
• Hire and train student staff in the processing of verification requests.
• Train Library Assistant II in the processing of verification requests.
• Assist Library Manager in the hiring process of staff in Resource Sharing Unit.
● Search MnCAT Discovery, OCLC, and library databases as appropriate to verify, correct problem requests, and identify holding locations..
● Review monthly OCLC unfilled lists, make adjustments as needed in regards to referral priorities.
● Work with Library Associates in terms of unfilled requests and turn-around time; make recommendations to change when needed.
● Work with campus locations staff on citation issues.
● Use examples as teaching tools and share lessons learned with Resource Sharing staff.
● Identify libraries with recurring citation, verification, location or request format errors. Contact the borrowing library to resolve problems and issues with verification.
● Establish and maintain positive working relationships with Minitex and University Library staff.
● Contribute to the overall effectiveness of the Verification and Referral Service Area.

2. Responsible for the Processing of Minitex WMS and Como Storage Requests (25%)
● Maintain a working knowledge in the processing of WMS requests in ILLiad.
● Actively participate with Library Associate managing Documents To U to ensure accurate and efficient processing of WMS requests at campus libraries.
● Ensure time sensitive requests are verified and ready to be move to the next queue in Mira
● Monitor WMS requests queue within ILLiad. Assign additional staff when requests volume in this queue is high.
● Work with campus locations staff on citation issues on these requests. Using examples as training tools to ensure similar requests are properly handled in the future.
● Serve as a backup for requests processing at the Como Storage site.
● Work with Library Assistant II to ensure requests are ready at the scheduled time.

3. Enhance the Overall Effectiveness of Resource Sharing and Minitex Services (10%)
● Maintain and promote a high standard of service throughout Resource Sharing.
● Participate actively and positively in meetings that involve the Resource Sharing staff and/or the entire Minitex staff.
● Establish & maintain positive relationships with co-workers in Resource Sharing, Delivery, MLAC and University Library staff.
● Serve as an expert in complex and difficult citations for Minitex libraries.
● Promote Resource Sharing and Minitex services through outreach to library staff.
● Attend workshops and conferences as appropriate, share information learned with other Minitex staff using appropriate communication methods.
● Work closely with Library Managers and co-workers in Resource Sharing to insure high- level efficiency and quality work.
● Provide assistance when appropriate to Resource Sharing and Minitex staff.
● Develop teamwork and cohesion among staff by engaging in open communication, receptive to new ideas and work towards building a positive work environment.
● Work with various groups and task teams that focus on office-wide or organizational concerns.

About the Department

MINITEX OVERVIEW:
Minitex is a publicly supported network of academic, public, state government and special libraries working cooperatively to improve library service for their users in Minnesota, North Dakota and South Dakota. There is reciprocity with Wisconsin libraries. The Minitex program is funded by the Minnesota Legislature through the Minnesota Office of Higher Education to serve Minnesota academic and state government libraries. Minitex is a joint program of the Office of Higher Education and the University of Minnesota. The Minnesota State Library Services (the Minnesota State Library Agency), a unit of the Minnesota Department of Education provides additional funding to support services for Minnesota Libraries and library users.

Libraries in North Dakota participate in Minitex programs through a contract between Minitex and North Dakota State Library. In South Dakota, Minitex provides services funded by contracts with the South Dakota State Library and South Dakota Library Network. Minitex programs are coordinated by the Minitex staff located at the University of Minnesota-Twin Cities Libraries, which fills the majority of requests sent to the Minitex office.

UNIT OVERVIEW:
Resource Sharing is a service in which Minitex participants transmit loan and photocopy requests to the central office. The Minitex staff locates and retrieves needed materials and sends them to the requesting library.
