Position Summary Information

Purpose of this Position
The Library Administrative Assistant & Loan Services Specialist is a member of the Administration and Loan Services Departments and has primary responsibility for providing support to those departments. In the Administration department, this position will provide administrative support to the College Librarian and the Assistant to the College Librarian & Operations Manager. In the Loan Services department, this position will assist patrons and other Loan Services staff with all aspects of public service.

Essential Job Functions – Responsibilities

Administration Department:
• Provide administrative support to the College Librarian and Assistant to the College Librarian & Operations Manager. Maintain administrative office files, draft and proofread documents, schedule and coordinate meetings.
• Assist the Assistant to the College Librarian & Operations Manager in maintaining library budget spreadsheets.
• Schedule and arrange for public cultural events in the Athenaeum and work with catering, ITS, and Facilities on set-up requirements.
• Schedule meeting rooms and class rooms.
• Submit facilities work orders as needed.
• Order and maintain an inventory of general and specialized supplies for library departments. Maintain database of supplies and suppliers.
• Maintain the administrative department web pages for the Library.
• Assist in collecting library statistical data as requested by the department.
• Provide recruitment support to Assistant to the College Librarian & Operations Manager.
• Other administrative support duties, as assigned.

Loan Services:
• Assist patrons and student workers with all aspects of public service (check in/ out, holds, recalls, patron records, renewals, fines, and bills). Answers questions about loan services, explains library policies, and directs patrons to appropriate library staff member or department.
• Assist the Loan Services Specialist with hiring, training, scheduling, supervising, and evaluating 6- 8 stacks/shelving student workers.
• Assist with monitoring the appearance of library stacks and space issues in the stacks.
• Assist with shelving of library material and inventory/shelf reading in coordination with the Loan Services Specialist.
• Serve as a backup to other Loan Services staff as needed and as requested by the supervisor.

General Responsibilities:
• Participate on Library and Bridge teams/working groups as assigned.
• Attend and participates in relevant Library and Bridge meetings and functions.
• Learn new technology as needed.
• This position is a member of the Bridge Consortium and works collaboratively and in tandem with peers at the St. Olaf College libraries to ensure that work is not duplicated and that costs are contained or reduced. Additionally, this position may be asked to provide services to the St. Olaf College libraries, and is responsible for participating in all appropriate Bridge working groups, meetings and functions.

Required Qualifications
• Two years of previous, related work experience.
• Excellent communication and public relations skills.
• Strong organizational and time management skills.
• Excellent computer skills with advanced knowledge of word processing, spreadsheet programs, and database management.
• Ability to initiate, organize, and work independently and as part of a team.
• Strong interpersonal and communication skills.
• Must be able to deal with confidential issues and information.
