● BA/BS or a combination of related education and work experience to equal four years
● Demonstrated ability to meet deadlines and to work both independently and as part of a team.
● Demonstrated ability to work with colleagues, donors and potential donors who represent a diversity of work, communities and cultures
● Proficient in using Google applications and Microsoft Office Suite (Google calendar, mail, drive, docs, PowerPoint, Excel, sites, etc)
● Available for occasional evening and weekend work

Preferred Qualifications
● Excellent interpersonal skills, including the ability to interact with all internal and external Libraries’ constituencies in person and through telephone and email in a professional and courteous manner
● Excellent written and verbal communications skills
● Strong organizational skills and ability to manage multiple priorities in a timely and efficient manner
● Experience working in higher education
● Some development experience and interest in pursuing career in development
● Experience with University of Minnesota processes and systems, including DMS
● Exceptional attention to detail and ability to provide quality control of marketing and stewardship materials
● Strong awareness of donor privacy requirements and need for confidentiality

Job Class: Alumni Rel/Adv Ops Associate
Working Title: Development Associate
Overview: This is a 100%, 12-month position within the Development Office of the University Libraries. Under the supervision of the Libraries’ Director of Development, the Development Associate will be responsible for marketing, communications, and stewardship of the Libraries’ annual giving programs and various special appeals, including event planning. The Development Associate will be responsible for gift acknowledgment and stewardship through both print and electronic media and will work with Libraries’ technical support to create and maintain the Libraries’ Development webpage. In addition to planning and implementing the Libraries’ annual appeals, the Development Associate will have a role in the Libraries’ Capital Campaign. The Development Associate will assist the Director of Development in implementing the Libraries Capital Campaign and in staffing the Capital Campaign Committee through scheduling and attending the meetings, working with the University of Minnesota Foundation Research Office to identify prospects, create spreadsheets to track cultivation, solicitation, and stewardship. **Some evening and weekend work is required.

Job Duties:
1. Manage Libraries’ annual giving programs and provide support for the Libraries’ capital campaign, including planning and production of annual and membership appeals as well as special appeals; participate as active member of the Libraries Development team (40%)
● Work with Libraries’ development and communications staff and UMF annual giving staff to develop fundraiser and membership appeals, including direct mail, email, social media, and telemarketing marketing efforts and electronic follow up.
● Identify criteria for direct mail promotion and fundraising
● Ensure clear communication of data requirements to the UMF and to the Libraries Communications department for direct mail and other annual appeal marketing
● Represent the Libraries at meetings with UMF annual giving staff and with telemarketing staff
● Serve as a liaison with the UMF annual giving staff
● Monitor Libraries membership and annual giving results to identify future selection criteria
● Monitor and revise operational procedures for information exchanges between the Libraries and UMF and within Libraries staff on issues pertaining to annual giving
● Ensure compliance with UMF policies regarding privacy protections
● Co-ordinate with Libraries’ technical support to design, implement, and update a Libraries’Development website

2. Manage Donor Management Systems (DMS) data entry, utilization, and analysis (30%)
● Maintain accurate and up to date data entry on all non-Friends of the Libraries (FOL) and donors in DMS, including requirements and procedures for gifts-in-kind
● Oversee and implement current and new administrative processes associated with use of DMS data, including but not limited to fund set up, donor tracking/maintenance, donor and invitation lists, update event data
● Maintain expert knowledge of DMS, particularly with regard to data analysis
● Maintain thorough knowledge of University of Minnesota Foundation (UMF) policies and practices regarding data entry and utilization and assure Libraries compliance
● Assist Director of Development with donor research, managing coordination with UMF research staff and DMS updates
● Responsible for the day to day operation of donor acknowledgement and stewardship, including weekly gift processing, updating address changes, preparing, mailing acknowledgement materials, maintaining donor files
● Review and update donor acknowledgement process on a regular basis
● Serve as liaisons to Foundation DMS staff

3. Manage donor acknowledgements and stewardship (20%)
● Develop donor acknowledgement and stewardship materials for special projects in collaboration with the Director of Development
● Manage donor acknowledgement process by identifying and implementing selection criteria and through regular downloads of donor information for specific projects
● Communicate information regarding gifts and donations to Libraries staff as appropriate; devise and manage systematic process to accomplish notification on a routine basis

4. Coordinate select events (10%)
● Help determine invite mailing lists, track RSVPs, and coordinate invite mailings when needed
● Draft invitation language, determine design elements, and coordinate jobs with addressing and mailing and/or Printing Services when needed
● Coordinate catering, beverage services, and submit any necessary permits
● Draft and send follow up emails to event attendees

The Development Office at the University of Minnesota Libraries works to strengthen the Libraries’ mission and outreach efforts by seeking funds to expand and build upon the collections, materials, and services the Libraries provide. We do this by engaging members of the University and community, offering unique programming and communications, highlighting the importance and influence the Libraries have on the overall success of the University of Minnesota, and promoting use of Libraries resources to the broader community. The Development Office works closely with and supports the efforts of the Friends of the University of Minnesota Libraries. The Development Office also maintains active communication with Libraries donors and Friends groups, aiming to provide ongoing, engaging stewardship of the resources entrusted to us.
